Event furniture delivered before guests arrive

The right rental duration is the number of days your furniture must be on site, not the number of hours your event runs. For most Singapore events that means one day for a gala dinner or wedding, two to five days for conferences and exhibitions, and several weeks for roadshows or pop-ups. The days either side of the event (load-in, rehearsal, teardown) decide your real hire period and your delivery cost.

This guide shows how to count those days, how delivery time bands and order size change what you pay, and what to settle with your supplier before you confirm. We are Events Partner, a Singapore event furniture rental company, so where we quote figures they come from our own published delivery and setup fee schedule. For rental rates by item, we quote per project.

TL;DR

  • Count rental days from when furniture arrives at the venue to when it leaves, not from your event’s start and end times.
  • Typical planning blocks: 1 day for a wedding or gala dinner, 2 to 5 days for conferences and exhibitions, weeks for roadshows and pop-ups.
  • Delivery and setup fees depend on the time band (office hours, after office hours, night shift), truck size and order value, with S$1000 as the dividing line on our fee page.
  • Stairs, early access and back-to-back events at one venue can add surcharges, so raise them at quotation stage.

How rental duration is counted

Most people think in event hours: doors open at 6.30pm, dinner ends at 10.30pm. Furniture does not work that way. The practical rental period usually runs from the moment items are delivered to the moment they are collected. If the ballroom is available at 8am and you want tables dressed by 2pm, the furniture is committed to you for that whole day, even though guests only see it at night.

This is a general pattern in event hire, so always confirm on your quotation how your supplier defines the period: delivery date to collection date, or event date alone, and whether a day means 24 hours or a working day.

Three questions settle most confusion:

  1. When can the venue let us in? Hotels, convention spaces and malls publish load-in windows. Furniture cannot arrive earlier than the venue allows.
  2. When must the space be clear? Many venues set a hard handover time, often late at night or early the next morning.
  3. Does anything stay overnight? If your event spans several days, the furniture stays in place, and you are renting for every one of those days.

Write these three answers on one line before you ask for a quote. A supplier can then price the right period the first time.

Typical rental periods by event type

These are planning examples drawn from how events are commonly run, not fixed rules. Your venue’s access terms will override them.

Event type Typical furniture on site What drives the length
Wedding or solemnisation 1 day Same-day setup and clearing, often with a tight ballroom window
Gala dinner or awards night 1 day, sometimes 2 Large table counts, stage and lounge areas need extra setup time
Corporate seminar or workshop 1 day Simple theatre or classroom layout, quick turnaround
Multi-day conference 2 to 5 days Breakout rooms, registration and networking areas stay in place
Exhibition or trade show 3 to 7 days including build Booth contractors need furniture before opening and after closing
Product launch or media launch 1 to 2 days Styling, rehearsal and press walk-through before the main event
Roadshow or mall activation 1 to several weeks Furniture stays in a public space for the whole campaign
VIP or sponsor lounge Matches the main event Must be ready before the first guest and stay until the last

If your event type appears in this table, look at the matching page on our site for the furniture mix that suits it: conference furniture rental, trade show furniture rental, wedding furniture rental or corporate event furniture rental.

Build your furniture timeline backwards

The most reliable way to choose a duration is to work backwards from the moment guests arrive.

Step 1: Fix the guest arrival time

This is your immovable point. Everything must be in place, tested and styled before it.

Step 2: Subtract your styling and walk-through time

Light furniture, such as chairs in rows, can be placed quickly. Lounge groupings, bar counters, branded pieces and staged layouts take longer, and florists, AV crews and lighting teams often work in the same space. Build in time for them to finish before you do your final check.

Step 3: Subtract furniture setup time

This depends on quantity, floor access, lift availability and layout complexity. A 300-seat banquet takes a very different crew size and time from a 40-person networking reception. Ask your supplier to estimate setup time from your floor plan.

Step 4: Check the venue’s earliest load-in

If the earliest access is 7am and setup needs seven hours, you have your answer. If it is not enough, you either extend access (often at a cost to the venue booking), add crew, or simplify the layout.

Step 5: Add the teardown and collection window

Venues usually want the space cleared quickly after the event. Decide whether collection happens the same night or the next morning. That choice changes both the rental days and the delivery band you pay for.

A worked example: a 200-guest corporate dinner with a hotel that allows access from 9am. Furniture arrives at 9.30am, setup runs until about 2pm, florists and AV take the room until 5pm, doors open at 6.30pm, and the event ends at 10.30pm. Collection is planned for 11pm that night. The furniture is on site for one calendar day, but the delivery and collection fall in different time bands. That detail matters for cost, as the next section shows.

How delivery time bands affect cost

Rental duration and delivery timing are linked. Our published delivery and setup / teardown fee schedule is split into three time bands: office hours, after office hours and night shift hours. It also separates standard trucks (14ft) from heavy trucks (24ft), and orders up to S$999.99 from orders of S$1000 and above. Fees are one-off, per truck, per trip.

Time band Truck Order up to S$999.99 Order S$1000 and above
Office hours Standard (14ft) S$60 from S$65
Office hours Heavy (24ft) not listed from S$130
After office hours Standard (14ft) S$120 from S$130
After office hours Heavy (24ft) not listed from S$260
Night shift hours Standard (14ft) S$180 from S$195
Night shift hours Heavy (24ft) not listed from S$390

The full schedule, including how each time band is defined, is on our delivery and setup / teardown fees page. Check it there before you finalise a timeline, because the band you land in is largely decided by your venue’s access hours.

What this means for duration planning:

  • A late-night collection costs more than a next-morning one. If your venue lets furniture stay until the following office hours, you may save on the collection trip. In exchange, you rent for one more day. Compare both options on your quotation.
  • Heavy trucks double the figure. Large orders with sofas, counters and many tables often need the 24ft truck. Estimate volume early.
  • The figure is per trip. Delivery and collection are separate journeys, so ask for each to be shown on the quotation rather than assuming one fee covers both.

Two surcharges that change the true cost of a rental period

Our fee page lists two charges that planners often miss until late.

Stairs surcharge: 50%. If furniture must be carried up stairs because there is no lift or loading access, a 50% surcharge applies. Venues such as shophouses, private clubs and some restaurants have stair-only areas. Mention floor level and lift access when you request a quote, not on the day.

Same venue turnover fee: from 20%. When one event ends and a second begins at the same venue, with furniture rearranged or swapped in between, a turnover fee applies from 20%. This is common with conferences that switch from theatre seating to a banquet in the evening, or hotels that run a lunch seminar followed by a dinner. If you plan a layout change inside your rental period, tell us at the start so the cost is itemised.

Both are easier to budget when they appear on the first quotation, which is why we recommend sharing venue details early.

Minimum order and quantity: what to expect

Readers often ask whether there is a minimum rental quantity in Singapore. We do not publish a single minimum quantity across our range. What our fee schedule does show is an order value threshold: orders up to S$999.99 and orders of S$1000 and above are priced differently for delivery and setup. Small orders still work, but the delivery cost becomes a larger share of the total.

To keep the cost per item sensible on a small order:

  • Combine categories in a single order, such as chairs with cocktail tables, so one truck trip serves all of them.
  • Use one delivery window and one collection window rather than separate drop-offs.
  • Choose office hours where the venue allows it.

If your order is small and the timing is fixed, send us the quantity, date and venue and we will confirm what applies. We quote on your actual requirement, so please do not rely on a general minimum from anyone else’s page.

Multi-day events, extensions and early access

Multi-day events are where duration mistakes cost the most. Here is how to handle the common cases.

Exhibitions and trade shows

Booth builders often start work a day or two before opening, and furniture needs to be there early so that styling and branding can be completed. Teardown usually happens straight after closing, so collection may fall in a late-night band. Build your rental period from the first build day to the last teardown day, not from the show’s public dates. For booth packages, our trade show furniture rental page is the place to start.

Conferences

Two or three days of plenary sessions plus breakouts means furniture stays on site throughout. Decide early whether the registration desk, networking lounge and speaker room use the same stock all days. Our conference furniture rental and conferences collection cover the standard mix.

Roadshows and mall activations

For campaigns running a week or longer, ask about how a longer period is priced, since quotes for extended hire are prepared for each project. Also plan for wear: furniture in public areas takes more handling, so agree how any replacements or repositioning during the campaign will work.

Extensions and last-minute changes

Events slip. Venues delay handover, guest lists grow, a client adds a second day. Treat any extension as something to request in writing as early as possible, because stock availability on adjacent dates depends on other bookings. If you suspect your dates may move, tell your supplier at quotation stage rather than after confirmation.

What to settle with your supplier before you confirm

Use this list at quotation stage. It avoids most disputes about rental duration.

  1. Rental period definition: from delivery to collection, or by event day?
  2. Delivery date and time band: office hours, after office hours or night shift.
  3. Collection date and time band: same night or next morning.
  4. Truck size: standard or heavy, based on item volume.
  5. Access conditions: lift, stairs, loading bay, parking and distance from bay to room.
  6. Layout changes: any turnover between sessions at the same venue.
  7. Quantities and spares: many planners add a small buffer on chairs for late additions. Confirm how additions are charged.
  8. Extension terms: what happens if the event runs over or dates move.
  9. Contact on the day: one named person at the venue for access issues.

Our event furniture checklist for organisers and planners goes further into item counts, and our guide on furniture rental logistics for event production covers how furniture timing fits with the other production trades. If you are still deciding what to hire, selecting the right event furniture for your event helps you match pieces to the layout.

Choosing the layout before you choose the duration

Layout complexity affects how long furniture needs to be on site more than most planners expect. A theatre-style conference with rows of chairs can be installed quickly. A gala with round tables, a lounge reception area and a bar counter takes longer, and a VIP lounge with sofas and side tables needs time for styling. Ask for a floor plan or a layout suggestion before fixing your delivery time, because it shows how many crew and how many hours you need.

For receptions and dinners, see our gala dinner furniture rental guide. For hotels and restaurants, where access rules and room turnover are strict, the guides on furniture rental in hotel events and restaurant event furniture rental explain what venues usually allow. Weddings have their own timing pressures, covered in how wedding furniture rental works in Singapore.

FAQ

How long can I rent event furniture for in Singapore?

Rental periods range from a single day to several weeks, depending on the project. A wedding or dinner usually needs one day, a conference two to five, and a roadshow can run for weeks. Send us your dates and we will quote the specific period.

Does the rental period include setup and teardown days?

In general, yes: the period usually runs from delivery to collection, so setup and teardown days sit inside it. Confirm the definition on your quotation. If you need the furniture early for styling or rehearsal, say so when you request the quote.

Is there a minimum order for furniture rental in Singapore?

We do not publish one minimum quantity across our range. Our delivery fees do change at an order value of S$1000, with a one-off S$60 per truck per trip for office hours on standard trucks below it, and from S$65 at S$1000 and above. Combining items in a single order helps keep delivery cost proportionate.

Does a late-night collection cost more?

It can. Our delivery and setup / teardown fees are tiered by time band, and night shift trips cost more than office hours trips. If your venue allows next-morning collection, compare the added rental day against the night band fee before you decide.
